This Privacy Policy explains how TrainEasy Pty Ltd ("TrainEasy", "we", "us", or "our") collects, uses, stores, shares, retains, and protects personal information when you use the TrainEasy mobile application, website, online store, digital delivery pages, claim pages, app-link pages, and related services (together, the "Services").
By using the Services, you agree to the collection, use, disclosure, retention, and handling of your information as described in this Privacy Policy. If you do not agree, please do not use the Services.
1. Who We Are
The Services are operated by TrainEasy Pty Ltd.

2. Information We Collect
The information we collect depends on how you use the Services.
2.1 Account Information
When you create or use an account, we may collect:
- name, if you provide it;
- email address;
- username or display name;
- login and authentication information;
- account settings and preferences;
- app version, device platform, and policy acceptance records;
- subscription, claim, or access status.
2.2 Workout and Training Data
When you use TrainEasy, we may collect and store workout and training data, including:
- workouts, workout templates, training programs, and custom exercises;
- exercise and training entries, such as performance data and notes;
- workout history, exercise history, personal records, goals, training preferences, reminders, and program progress.
2.3 Body, Progress, and Health-Related Data
If you choose to add or sync this information, we may collect and store:
- body measurements such as weight, height, BMI, body fat percentage, and similar measurement logs;
- progress photos, before-and-after photos, and other images you upload;
- health or fitness goals and training preferences;
- post-workout check-ins and similar progress inputs.
This information may be health-related or sensitive depending on where you live and how you use the Services.
2.4 Health Sync Data
If you choose to connect TrainEasy with Apple Health, Health Connect, or another supported health platform, we may read or write the data types you authorize.
Based on the current app configuration, TrainEasy may read Apple Health weight, BMI, and height, and may write weight and BMI entries to Apple Health. On Android, TrainEasy may request Health Connect permissions for weight and height, including permission to write weight where supported.
You can turn off health sync or revoke platform permissions through your device or health platform settings. Revoking permission stops new sync activity, but it does not automatically delete health-related information already stored in your TrainEasy account. You can delete stored data in the app where available, delete your account, or contact us for help.
We do not use Health Sync data for advertising and we do not sell Health Sync data.
2.5 AI Upload Data
If you use AI Upload, you may upload source files such as PDFs, CSV files, Word or Excel documents, and supported image files so TrainEasy can help convert them into workouts, programs, or related training data.
When processing AI Uploads, we may collect and store:
- the uploaded source file and related file information;
- extracted content and generated workout or program output;
- related processing, validation, support, safety, and audit records.
AI Uploads are processed by our systems and by AI service providers. We may send your uploaded file and related instructions to those providers so they can generate structured training output.
You should not upload medical records, government identifiers, financial records, confidential third-party information, or any content you do not have permission to upload.
We do not use AI Upload source files for advertising and we do not sell AI Upload source files.
2.6 Sharing, Claim Links, and Digital Delivery
The Services may allow you to share workouts, programs, store items, claim links, promo offers, digital downloads, or other content.
If you create, receive, preview, redeem, or download shared or delivered content, we may collect:
- information about the shared, claimed, offered, delivered, previewed, or downloaded content;
- sender, recipient, purchaser, or redeemer information, where applicable;
- offer, access, delivery, download, support, safety, and fraud-prevention records.
If you share or receive a share, claim, or delivery link, people who can access that link may be able to open, preview, redeem, or download the related content, subject to the applicable feature rules. Revoking a link may stop future access, but it may not remove copies already saved, downloaded, redeemed, or otherwise obtained by another user.
2.7 Purchases, Subscriptions, Store Orders, and Payments
If you subscribe, buy a product, claim an offer, redeem a promotion, or receive a digital delivery, we may collect:
- purchase, subscription, access, and restore status;
- payment, order, fulfillment, subscription, purchase, delivery, and access identifiers;
- order email address and delivery email address;
- product identifiers, prices, currency, discount, campaign, and tax-related information;
- fraud-prevention, support, audit, and transactional communication records.
Payments are processed by third-party providers such as app stores, payment processors, ecommerce providers, subscription providers, or other payment partners. We do not generally store full payment card numbers.
2.8 Support, Communications, and Marketing
If you contact us, subscribe to marketing, respond to a survey, or communicate with us, we may collect:
- your contact details;
- message content and support history;
- marketing preferences, consent, unsubscribe status, and suppression records;
- communications needed to send transactional, service, support, or marketing messages.
2.9 Device, Usage, Analytics, and Diagnostics
We may collect:
- device type, operating system, app version, platform, and locale;
- feature usage, app events, logs, and performance information;
- crash, error, and diagnostic information;
- IP address and similar network information where collected by our service providers;
- cookies and similar technologies on our website, store, and delivery pages.
We use analytics, diagnostics, crash reporting, and, where enabled, marketing measurement providers. We take reasonable steps to limit sensitive information sent to these providers.
3. Information We Receive From Third Parties
We may receive information from:
- authentication providers;
- app stores, subscription providers, ecommerce providers, payment processors, and fulfillment providers;
- Apple Health, Health Connect, or other health platforms you connect;
- AI processing providers used for AI Upload;
- analytics, diagnostics, marketing, email, support, security, and hosting providers;
- other users who share content, claim links, or delivery links with you;
- law enforcement, regulators, or other parties where required or permitted by law.
4. How We Use Information
We use information to:
- provide, operate, secure, and improve the Services;
- create and manage accounts;
- provide workouts, programs, Store content, Smart Progression, AI Upload, sharing, claim links, Promo Wallet, digital delivery, and related features;
- process purchases, subscriptions, access, refunds, claims, downloads, and support requests;
- sync authorized health data and store progress data;
- send service messages, transactional emails, support messages, and marketing messages where permitted;
- detect, prevent, investigate, and respond to fraud, abuse, unauthorized access, policy breaches, and security incidents;
- comply with legal, tax, accounting, regulatory, and app store obligations;
- analyze usage and diagnose technical issues.
5. How We Share Information
We may share information:
- with service providers who help us operate the Services, including hosting, authentication, database, storage, analytics, diagnostics, AI processing, payments, subscriptions, ecommerce, email, support, and security providers;
- with app stores, subscription providers, ecommerce providers, payment processors, and fulfillment providers to process purchases, subscriptions, claims, refunds, deliveries, and access;
- with Apple Health, Health Connect, or other health platforms when you authorize a connection;
- with AI processing providers when you use AI Upload;
- with other users or link recipients when you share content, create claim links, redeem offers, or use digital delivery features;
- with law enforcement, regulators, courts, advisers, or other parties where required or permitted by law;
- in connection with a business transfer, merger, acquisition, restructuring, or sale of assets.
We do not sell your personal information or sensitive user data. We do not use Health Sync data, body measurement data, progress photos, or AI Upload source files for advertising.
6. User Content and Shared Content
Workout templates, programs, exercises, notes, images, AI Upload outputs, shared content, and similar material may include personal information depending on what you enter or upload.
You control what you add to the Services. If you share content or send a claim, share, or delivery link, recipients may be able to view, save, download, or use the shared content. You are responsible for making sure you have the right to share that content.
7. Data Retention
We retain personal information for different periods depending on the type of data, the purpose for which it is used, feature requirements, legal obligations, security needs, and whether you delete the data or your account. This section explains how long we keep the main categories of user data.
At a glance:
- account, profile, workout, training, body measurement, progress photo, and user-uploaded file data are kept while your account is active, until you delete the relevant data, delete your account, or ask us to delete it;
- Health Sync data stored in TrainEasy is kept until you delete the relevant data, delete your account, or ask us to delete it;
- AI Upload source files are kept for processing and are intended to be deleted after processing is completed, cancelled, or cleared;
- generated workouts, programs, and AI Upload output that you save are kept like other workout or program data, until you delete them, delete your account, or ask us to delete them;
- share, claim, promo, Store access, digital delivery, download, support, fraud-prevention, security, and audit records are kept while needed to provide the relevant feature, support request, safety protection, fraud-prevention purpose, or compliance purpose;
- purchase, order, subscription, refund, access, delivery, tax, and accounting records are kept while needed to provide paid Services, maintain access and deliveries, handle refunds or disputes, prevent fraud, and meet legal, tax, accounting, payment, and audit obligations;
- support messages are kept while the support issue is active and afterwards while needed for follow-up support, disputes, safety, security, legal obligations, or service integrity;
- marketing consent, unsubscribe, and suppression records are kept while needed to honor your preferences and comply with law;
- analytics, diagnostics, crash, security, abuse-prevention, and operational logs are kept according to our settings, provider retention settings, provider policies, and operational needs. Some analytics providers may retain aggregated or de-identified reporting data after user-level or event-level data is deleted;
- deleted data may remain in backups until overwritten or deleted through normal backup cycles.
Where we do not currently have a fixed public retention period, we retain the data only for the event-based periods described above and below, then delete, anonymize, or restrict access to it where practical. We may retain data for longer if needed for legal claims, disputes, tax or accounting obligations, fraud prevention, security investigations, safety, compliance, backup recovery, or to comply with law.
7.1 Account, Profile, and Core App Data
We keep account, profile, preference, workout, program, exercise, exercise history, logged workout, body measurement, progress photo, and user-uploaded file data while your account is active, until you delete the relevant data, delete your account, or ask us to delete it.
When you request account deletion through the app or by contacting us, we start the deletion process. The current account deletion workflow deletes your account authentication record, user profile, username record, user-owned workout templates, workout programs, logged workouts, custom exercises, exercise history, and files stored in your user file area. After the deletion process completes, only records that fall within the exceptions in this section should remain. Completion may be delayed by technical failure, security review, legal obligations, disputes, or other permitted reasons.
7.2 Health Sync and Body Measurement Data
Health Sync data and body measurement data stored in TrainEasy are retained with your account until you delete the relevant data, delete your account, or ask us to delete it, subject to the exceptions in this section.
Turning off Health Sync or revoking Apple Health or Health Connect permissions stops new sync activity but does not automatically delete information already stored in TrainEasy.
7.3 AI Upload Source Files and AI Job Records
AI Upload source files are intended for processing your AI Upload, not indefinite storage. Where practical, we delete source files and related provider-side records after processing is completed, when you cancel an upload, or when you clear AI Upload history. Provider-side files created for processing may be deleted by TrainEasy on a best-effort basis.
We may retain AI Upload processing records, generated structured output, validation results, support records, and safety records for as long as needed to provide the AI Upload feature, keep generated workouts or programs in your account, troubleshoot issues, prevent abuse, or comply with legal obligations.
If an AI Upload is cancelled or cleared, we aim to delete the source file and provider-side records. If deletion cannot be completed immediately, the source file may remain until deletion is completed or until it is no longer needed for processing, security, support, legal, or abuse-prevention reasons.
Generated workouts, programs, or related output that you save or import into TrainEasy are retained like other workout or program data until you delete them, delete your account, or ask us to delete them, subject to the exceptions in this section.
7.4 Shared Content, Claim Links, Promo Records, and Digital Delivery
Shared content, claim, promo, Store access, digital delivery, download, support, fraud-prevention, security, and audit records are retained while needed to provide sharing, claims, offers, downloads, access, support, fraud prevention, security, and compliance.
Account deletion may not remove all operational records connected with claims, shares, deliveries, offers, purchases, downloads, audits, or security events. Where practical, we delete, anonymize, or restrict access to those records when they are no longer needed for the purposes listed in this Privacy Policy.
7.5 Purchases, Orders, Subscriptions, Tax, and Accounting Records
We retain purchase, order, subscription, refund, access, digital delivery, tax, accounting, and related transaction records for as long as needed to provide paid Services, maintain access and deliveries, handle refunds, disputes, chargebacks, fraud checks, and support, and meet legal, tax, accounting, app store, payment provider, and audit obligations.
7.6 Support, Communications, and Marketing
We retain support messages and related communications while the support issue is active and afterwards for as long as needed for follow-up support, disputes, safety, security, legal obligations, or service integrity.
Marketing consent, unsubscribe, and suppression records may be retained for as long as needed to honor your preferences and comply with law.
7.7 Analytics, Diagnostics, Security, and Logs
Analytics, diagnostics, crash, security, abuse-prevention, and operational logs are retained according to our settings, provider retention settings, provider policies, and operational needs.
User-level and event-level analytics data may be subject to configurable provider retention settings. Aggregated, de-identified, diagnostic, security, or operational records may be retained for longer where needed for reporting, diagnostics, security, fraud prevention, legal obligations, debugging, audits, or service integrity.
Where we control the record, we delete, anonymize, or restrict access when it is no longer needed for those purposes. Where a third-party provider controls retention, the provider's own retention settings and policies apply.
7.8 Backups
Deleted data may remain in backups for a limited period until those backups are overwritten or deleted through normal backup cycles. Backup retention depends on the relevant hosting, database, storage, and disaster-recovery systems. We do not use backups to restore deleted user accounts except where needed for disaster recovery, security, legal, or compliance reasons.
8. Account Deletion and Data Requests
You can request account deletion by:
- using the in-app Delete account option; or
- emailing support@traineasy.fit from the email address linked to your account with the subject line "Delete my TrainEasy account".
Deleting the app from your device does not delete your account or cancel subscriptions. Subscriptions must be cancelled through the relevant app store, subscription-management flow, or subscription provider.
When we receive a valid deletion request, we will take reasonable steps to verify the request and delete or anonymize applicable account data as described in Section 7. Some records may be retained where required or permitted by law or needed for security, fraud prevention, accounting, support, disputes, audit, or service integrity.
9. Your Rights and Choices
Depending on where you live, you may have rights to:
- access personal information we hold about you;
- correct inaccurate information;
- request deletion of personal information;
- object to or restrict certain processing;
- withdraw consent where processing is based on consent;
- opt out of marketing communications;
- make a complaint to a privacy or data protection authority.

10. Security
We use reasonable technical and organizational measures to protect personal information, including authentication, access controls, server-side controls, provider security features, and monitoring.
No service is completely secure. You are responsible for keeping your login details safe and for choosing carefully what you upload, store, or share.
11. Children and Minors
If you are under 18, you should use the Services only with permission from a parent or legal guardian.
If you believe a child has provided personal information without appropriate consent, contact us at support@traineasy.fit and we will take reasonable steps to address the request.
12. International Transfers
We and our service providers may process and store information in Australia, the United States, and other countries. Privacy laws in those countries may differ from the laws where you live.
Where required, we use appropriate safeguards for international transfers.
13. Third-Party Links and Services
The Services may link to third-party websites, stores, app stores, payment providers, health platforms, or other services. Their privacy practices are governed by their own policies. We are not responsible for third-party privacy practices.
14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify you, such as by updating the policy page, changing the effective date, or asking you to review and accept updated terms in the app where appropriate.
